To make a group contacts in your address book:

I am only going to describe how to do this in Outlook Express, because that is what most people use and if you use another mail client (that's what geeks call an email program) then you probably don't need my help.


OK   Number 1. Getting the file onto your computer

You have to download and save the following file. It contains all the councillors' email addresses.  Click on the button below and it will download and probably start up some program - maybe Microsoft Excel.  That's OK.  When it does you need to save the file somewhere.  In your "documents" folder  is fine or even on the desktop - doesn't matter as long as you can find it again.




Click on the save [File] then [Save As] and tell it to save it. Use some name (maybe use CCC so you know what it is)  in some place where you can find it again.  Your program might say something like "The file now has some formatting features  that may make it not a simple .csv file. "  It should give you options to save it without any formatting features.  Save it without formatting features.

Then close down Excel or whatever opened when you downloaded the file.

OK now step 2. Saving it to your address book

Open Outlook Express and click [File]  [Import Export]  then [Import]
Then go to [Other Address Book] click that.
A funny box that says something like what program or file type do you want to import.

Down the bottom of the list should be "Text File - Comma separated values" click on that and [IMPORT] 
A box will open that lets you browse  for the CCC.csv file you saved. Browse around and find CCC.csv  and click on it and OK. Click on [OK] then [Finish]

It should have saved the information to your address book.

Now Step 3  Turning into a group contact

Now Find the Address Book button at the top somewhere and click it. You should get a box which displays your contacts.

Have a look and see if Alan Blake is there near the top. If he is there (if it's the right Alan Blake) then you have the addresses.  If not - bugger - try again.

OK now click [New] up on the top left in the page then [New Group]

Type in a name for your group - I used CCC but anything not too long is fine.
Click [Select Members] and you will get a list one one side of all your addresses and a blank box on the other.
Go down and find each of the ten councillors by name and also the mayor.  Click each name and then  [Select]  The name should appear in the box on the right.
Once you have done all eleven click OK.

That's it. Now whenever you send an email (which you should do soon) to a councillor - instead of putting the individual councillor in type CCC in the address part of your email and outlook express will automatically send it to all the councillors.
